TERMS AND CONDITIONS AND DEPOSIT & PAYMENT POLICY

The Thornybush Collection reserves the right to stipulate a minimum stay over weekends, public holidays and holiday periods.  A weekend constitutes a Friday and a Saturday night.  One night bookings are not generally accepted but may be made at the discretion of The Thornybush Collection reservations staff.

All visits to the Lodges are subject to The Thornybush Collection’s Exclusion of Liability and Indemnity, a copy of which is available on the website.

To make a reservation please provide the following information:

  • Surname and Christian names as they appear in the passport or Identity Document
  • Nationality
  • Arrival and departure methods
  • Any special dietary requirements or special requests
  • Mobile contact number
  • Room configuration – double / twin or single beds

GENERAL DEPOSIT POLICY

For all F.I.T “Free and Independent Traveler” bookings, a 25% non-refundable deposit is required within seven (7) days of the making of a reservation, unless a booking is made within 30 days prior to the scheduled date of arrival in which case full payment is required to secure the reservation.

Should we receive confirmed bookings against provisional space, we do reserve the right to contact you to request releasing of rooms and we will require a response within 48 hours or the rooms will be automatically released

The balance of the account must be paid, in advance, no less than 30 days prior to the scheduled date of arrival.  All other extras must be settled with The Lodge prior to departure.

Please note that a reservation is not confirmed or secured until this deposit requirement has been paid in full. The Thornybush Collection reserves the right, without notice to the Company/guest/group/independent traveler (hereinafter referred to as “the guest”), to release any accommodation held where the required deposit has not been paid in full within the stated period.

GROUP DEPOSIT POLICY – Eight GUESTS OR MORE

For all groups (Eight guests or more) a 25% non-refundable deposit is required within 14 days of the making of a reservation.

Please note that a reservation is not confirmed or secure until this deposit requirement has been paid in full. The Thornybush Collection reserves the right to release any accommodation held where the required deposit has not been paid in full within the stated period.

RESERVATIONS PROCEDURES – GROUPS

A reservation will be held on a provisional basis for 14 days from day of booking.  The Guest is required to release provisional bookings in writing by either e-mail or fax

A reservation made within 90 days prior to the scheduled date of arrival will be reserved on provisional status for 2 to 7 days only. The Guest is required to release provisional bookings in writing either by e-mail or fax.

The Thornybush Collection will issue to the Guest

  • a reservation detailed confirmation letter - i.e. lodge/s, room type/s, dates, rates, flights and transfers as well as deposit deadline date.
  • A group will become confirmed once the deposit has been received and all terms and conditions have been adhered to
  • Standard deadlines:
    • Please note that we require a final number of rooms at 90 days
    • Please note that we require a preliminary or final program at 60 days
    • Please note that we require a final rooming list and final details at 30 days

The Company is obliged to release reservations in writing either by e-mail or fax.

All reservations are subject to the cancellation policy set out below.

TOUR OPERATOR / TRAVEL AGENT POLICY

Post the deposit being paid as per stipulated deadlines, the balance of the  account is required to be paid in advance, no less than 30 days prior to the scheduled date of arrival, unless the operator enjoys credit facilities with The Thornybush Collection, in which event the account will be invoiced in accordance with that facility.

All Tour Operators/Travel Agents are subject to the Group Deposit Policy (Eight guests or more or exclusive use of Shumbalala, Serondella, Monwana, Waterbuck or N’Kaya Game Lodges) referred to above.

The Thornybush Collection’s cancellation policy is applicable, regardless of whether payments on the account have been made in full or in part.

All reservations are subject to the cancellation policy set out below.

CANCELLATION POLICY – GROUPS

The cancellation of a provisional reservation will not incur cancellation fees, provided that the reservation is released by the Guest, in writing, outside of 151 days of the stipulated date of arrival. Cancellation of reservations for Groups made within 30 days of intended arrival will not incur cancellation charges if cancelled within 24 hours of the original confirmation of the reservation.

The Guest shall be liable for the following cancellation fees on the cancellation of a confirmed reservation or a reduction in the number of rooms or guests, namely:
150 – 91 days prior to arrival at the lodge = 35% of the full amount if the entire booking is cancelled or 35% of the revenue relating to the cancelled rooms
90 – 61 days prior to arrival at the lodge = 50% of the full amount if the entire booking is cancelled or 50% of the revenue relating to the cancelled rooms
60 – 31 days prior to arrival at the lodge = 75% of the full amount if the entire booking is cancelled or 75% of the revenue relating to the cancelled rooms
30 – 00 days prior to arrival at the lodge = 100% of the full amount if the entire booking is cancelled or 100% of the revenue relating to the cancelled rooms, unless the reservation is cancelled within 24 hours of the original confirmation of the reservation

CANCELLATION POLICY - INDIVIDUALS

Upon confirmation of reservation, TC reserves the right to charge a cancellation fee unless the reservation is cancelled within 24 hours of the original confirmation of the reservation.  Applicable cancellation fee equivalent to:
60 to 31 days prior to arrival at the lodge = 25% Cancellation fees (Non-refundable deposit to apply)
30 to 00 days prior to arrival at the lodge = 100% Cancellation fees, unless the reservation is cancelled within 24 hours of the original confirmation of the reservation.

All deposits of 25 % received on confirmation are Non-Refundable and will apply as cancellation fees.

THE THORNYBUSH COLLECTION’S RESERVED RIGHTS

In the event that The Thornybush Collection, at any time, receives another firm enquiry, accompanied by the payment of a 25% deposit, seeking accommodation being held by TC for the Guest, then The Thornybush Collection reserves the right to request the Guest to immediately:

Release the said accommodation; or

Pay a non-refundable deposit to The Thornybush Collection in the sum equivalent to 25% of the full account, so as to secure the reservation

PAYMENTS

Payments can be effected by either:

  • Credit Card, in which event the Company must advise TC of the card type, card number, card expiry date, cardholder’s name and passport number, the Company must request a credit card authorization form from TC’s reservations department.  This document must be completed and returned by fax to The Thornybush Collection.

  • Cheques must be crossed and marked “Not Transferable” made out to Inzalo Investment Holdings (Pty) Ltd T/A The Thornybush Collection, provided that such cheques are not post-dated

ACCOUNT HOLDERS

The same rules and regulations for making a reservation and cancellation policies apply to account holders.  Deposits for individual bookings will fall away but deposits will be asked for, for group bookings to secure the space.  Once invoices have been issued, no adjustments will be made post travel.  Please check all confirmation vouchers prior to guests’ arrival.

TOUR LEADER/GUIDE/PILOT POLICY

The Thornybush Collection have 2 pilot’s rooms available at Thornybush Game Lodge, 1 pilot’s room at Thornybush Waterside Lodge, 1 pilot’s room at Chapungu Tented Camp and 1 pilot’s room at Simbambili Game Lodge only and hence tour leaders/guides will be accommodated at a rate of R950 p/p/p/n net at Thornybush Game Lodge, Thornybush Waterside Lodge and Chapungu Tented Camp and R1, 250 p/p/p/n net at Simbambili Game Lodge subject to the use of the “Pilots/Guides” accommodation being available – on a meals and accommodation basis only, game drives subject to space available on the vehicle.  If a group takes out exclusive use of the lodge then the group will receive 1 pilot guide room free of charge on a meal & accommodation basis only with game drives subject to space available on the vehicles.

GAME WALK AND CHILDRENS POLICY

Children of all ages are accepted at Thornybush Game Lodge, Thornybush Waterside Lodge, Serondella Lodge, Monwana Lodge, Waterbuck Lodge and n’Kaya Lodge.  Children aged 6 and over are permitted on Game Drive and persons 16 years and over are permitted on Game walks also upon management’s discretion to refuse anyone whom they may deem unsafe / unsuited to participate in these activities.  All lodges listed barring n’Kaya Lodge offer a baby-sitting service at an additional cost. 

THE THORNYBUSH COLLECTION’S RESERVED RIGHTS

In the event that The Thornybush Collection, at any time, receives another firm enquiry, accompanied by the payment of a 25% deposit, seeking accommodation being held by The Thornybush Collection for the Guest, then The Thornybush Collection reserves the right to request the Guest to immediately:

Release the said accommodation; or

Pay a non-refundable deposit to The Thornybush Collection in the sum equivalent to 25% of the full account, so as to secure the reservation

TRAVEL CANCELLATION INSURANCE

The Guest is obliged to ensure that it has taken out (or the travelling guest has taken out) adequate travel insurance to cover the financial implications of The Thornybush Collection’s Cancellation Terms and Conditions.  The Guest will bear the sole and absolute responsibility therefore.

HEALTH MATTERS

Since Malaria is endemic to the Limpopo and Mpumalanga region where The Thornybush Collection lodges are situated, it is essential to ensure that anti-malarial precautions be taken throughout the year.  It is the Company’s sole and absolute responsibility to ensure that all guests, tour leaders, tour guides, drivers, guides, pilots and the like consult with their doctors and/or pharmacist prior to attending The Thornybush Collection lodges in order to ensure that all necessary precautions against malaria are timeously taken.

AIRSTRIP / PASSENGER TAXES
There is a compulsory Passenger tax for arrivals and departures of R 90.00 per person at Thornybush or R 143.00 at Simbambili.
Should private planes park overnight at Thornybush Airstrip the fee is R 750.00 per day (payable direct upon check out).
In the case where The Thornybush Collection book flight services the taxes are included in the quoted rate.
In the case where agent or guests book flight services directly with the airlines the charges will be collected directly at the lodge.
Agents/Guests wishing to include these costs should please indicate at time of booking.
Costs above are subject to increase without prior notice.

TOMSA Levy and CONSERVATION Fees

Please note that form 01 January 2009 the gate fee will no longer be applicable, all reservations will however be charged a Conservation fee of R110.00 per person per booking as well as TOMSA Levy of 0.5% of accommodation value per person per night and these additional cost are applicable to all lodges in the portfolio.   These costs will be raised on the reservations invoice and are under no circumstances payable at any of the lodges in the portfolio.
Sabi Sand gate fee is payable direct at Gowrie gate.

Please adhere to all deadlines stipulated in the reservation to avoid the reservation being automatically cancelled without prior notice.
